Viewing and editing folder properties

To view and edit the properties of a folder:

  1. In the navigation pane, select the folder if it is not selected already. The path of the folder appears in the detail pane in the Documents and Folders views.
  2. In the Documents or Folders view, in the path shown at the top of the view, click the name of the folder. The folder's properties appear in the detail pane.
  3. In the ribbon, in the Folder group, click Edit. The folder's editable properties appear in a form.

  4. Click options or type values using the descriptions in the following table.

The folder properties appear in sections. You can hide or show individual sections by clicking the arrow icon beside the section name. The current visibility of a section applies throughout the workspace.

Name

Name of the folder

User code

Optional user-defined code. Typically used by Smart Paste and other features as the folder identifier.

Created

Creation date, time, and user name. The creator is considered to be the owner of a folder.

Letter code

Optional user-defined code

Modified

Modification date, time, and user name

Version

Optional folder version number not maintained by Kronodoc

Position

The level of the folder in the workspace tree structure. For example, a value of 2 means that the folder is the second subfolder in the tree. Position applies to all folders with subfolders. Otherwise, the value is 1.

(General) Type

Folder type

Description

Description of the folder purpose or contents. It is shown at the top of the document list if the Hide folder description in document list option is not selected as described in Configuring user interface settings. The text can be formatted using any valid HTML tags to include lists, images, and so on.

Status

The folder's active status within its assigned life cycle.

Lifecycle

Name of the life cycle assigned to the folder. A folder's life cycle defines the status transitions for the folder and the group of users that are allowed to run each transition.

Default document type assigned to documents added to the folder

Custom

The visibility of custom properties depends on access control, the folder type, and workspace settings. For more information, see the Kronodoc Configuration Guide.

Collaboration

Comments

Number of comments attached to the folder

Subscriber notifications

Names of users that have subscribed to the folder. For more information about subscribing to a folder, see About change notifications.

Notifications

Names of users registered to receive notifications about the folder. For more information about notifications, see About change notifications.

Access profile

The active access control profile of a folder as described in Viewing and editing access control profiles.

To view the available profiles:

  • In the ribbon, in the Access group, click List profiles. A page that lists the defined profiles and their respective privileges appears.

Role accesses

Role access rights to the folder for individual users or user groups as described in Assigning and removing roles.

Links

Parent folders

Names of all parent folders to which the selected folder has been linked

Subfolders

Names of all subfolders of the selected folder

  1. Click Save. All of the folder's properties reappear and your changes are shown.
